Placing Signatures And Inputs

Learn how to use each field type in the AirSign document editor. This guide covers what each field does, when to use it, and how to configure its settings.

How Field Placement Works

Select a field type from the left toolbar, click on the document to place it, then drag to reposition or resize. Adjust settings in the right panel. To place another field, click the tool again and repeat.

Signature Field

The signature field is where signers will draw or type their signature. This is typically the most important field on any document.

When to use

  • Any document requiring a legal signature
  • Contracts, agreements, consent forms
  • Anywhere you would traditionally sign with a pen

Settings

  • Required: Signature fields are always required by default
  • Assigned Signer: Select which recipient must sign this field

Tips

  • Make the field large enough for comfortable signing (recommended minimum 100x50 pixels)
  • Place near the signature line on your document

Date Signed Field

Automatically captures the exact date when the signer completes their signature. No manual entry required.

When to use

  • Next to signature fields to record when the document was signed
  • When you need an accurate, tamper-proof signing date
  • For compliance and audit trail purposes

Settings

  • Auto-filled: The date is automatically populated when the signer signs
  • Assigned Signer: Links to a specific signer's signing date

Tips

  • Place directly below or beside the corresponding signature field
  • Use instead of a text field for dates to ensure accuracy

Signer Name Field

Automatically displays the signer's full name as entered when they were added as a recipient.

When to use

  • Print name lines below signatures
  • Header sections identifying the signing party
  • Anywhere you need the signer's name without manual entry

Settings

  • Auto-filled: Populated from the recipient's name
  • Assigned Signer: Select which recipient's name to display

Tips

  • Combine with Date Signed for a complete signature block
  • Saves time compared to asking signers to type their name

Text Field

A flexible input field for any text the signer needs to enter, such as addresses, phone numbers, or custom information.

When to use

  • Collecting addresses, phone numbers, or emails
  • Custom fields specific to your document
  • Any information that varies per signer

Settings

  • Placeholder: Helper text shown before the signer types (e.g., "Enter your address")
  • Default Value: Pre-fill the field with a value
  • Multiline: Enable for longer text entries like addresses or comments
  • Read Only: Lock the field so signers can view but not edit (requires a default value)

Tips

  • Use placeholder text to guide signers on what to enter
  • Enable multiline for addresses or longer responses
  • Resize the field width by dragging the right edge

Dropdown Field

Presents a list of predefined options for the signer to choose from. Useful when you need to limit responses to specific choices.

When to use

  • Selecting from a list of states, countries, or departments
  • Choosing payment terms or delivery options
  • Any field where responses should be standardised

Settings

  • Placeholder: Text shown before selection (e.g., "Select an option")
  • Options: Add, edit, or remove the available choices
  • Default Value: Pre-select an option
  • Read Only: Lock the selection (requires a default value)

Tips

  • Keep option lists concise and clear
  • Use instead of text fields when you need consistent data

Checkbox Field

A simple yes/no toggle that signers can check or leave unchecked. Multiple checkboxes can be selected independently.

When to use

  • Agreement confirmations ("I agree to the terms and conditions")
  • Optional add-ons or selections
  • Multiple selections where more than one can be chosen

Settings

  • Value: The value recorded when checked (useful for data processing)
  • Grouping: Checkboxes with the same name are grouped together

Tips

  • Place directly next to the text describing what the checkbox represents
  • Use for "select all that apply" scenarios

Radio Button Field

Similar to checkboxes, but only one option can be selected from a group. Use when signers must choose exactly one option.

When to use

  • Yes/No questions
  • Mutually exclusive choices (e.g., "Individual" or "Business")
  • Any question requiring exactly one answer

Settings

  • Value: The value recorded when selected
  • Grouping: Radio buttons with the same name form an exclusive group

Tips

  • Place all related radio buttons close together
  • Ensure each option in the group has a unique value
  • Use the "Add to group" button to quickly add more options to an existing group

Assigning Fields to Signers

When you have multiple recipients, make sure to select the correct signer from the left panel before placing each field. Each field is colour-coded to match its assigned signer, making it easy to see who needs to complete what.
